Checkout & Check-in
Overview
Checking out an asset records that it has been assigned to a specific person, location, or another asset. Checking it back in returns it to the available pool.
Checking Out an Asset
- Open the asset record
- Click Checkout
- Select Checkout to:
- User — assign to a staff member
- Location — assign to a site or office
- Asset — assign to another asset (e.g. a component attached to a machine)
- Search for and select the person or location
- Set the Checkout Date — defaults to today
- Set an Expected Checkin Date if the assignment is temporary
- Add a Note if needed
- Click Checkout
The asset status automatically changes to Deployed on checkout.
Checking In an Asset
- Open the asset record
- Click Checkin
- Set the Checkin Date
- Set the Status the asset should return to — usually Ready to Deploy unless it needs repair
- Add a Note if needed
- Click Checkin
Viewing Who Has an Asset
Open any asset and the Assigned To field shows the current holder. The History tab at the bottom shows every checkout and checkin event for that asset with dates and names.
Bulk Checkout
To assign multiple assets at once:
- Go to Assets and use the checkboxes to select assets
- Scroll to the bottom and select Checkout from the action dropdown
- Select the user or location to assign all selected assets to
- Confirm
Use bulk checkout when distributing equipment to a new site or project team.
